Most of the students today really like to use computer units for research, for producing lesson outputs, and
for social networking site activities. The TLE CSS subject offers the students the essential learning
competencies particularly in planning and producing output and transferring data using computer system
for task to be undertaken in performing computer operations.

Review
The most important in producing data using computer system are good outputs and accurate information.
You cannot produce good documents and accurate information if your desktop or computer has no Office
application, like Microsoft Office Word and others. You cannot publish things online if you have no
knowledge in online applications, like the use of Google Doc and others and you cannot fully operate your
computer if it is infected with a virus or programs. In order for you to operate the computer, you need to
select the appropriate hardware and software which are compatible to each other. Like for example, you
cannot install Windows 10 in a Pentium I PC, therefore, you follow the appropriate information pertaining to
the system
requirements in installing the Windows Operating System and, you are encouraged to use a licensed
Windows Operating System and Microsoft Office if you want to work with the personal computer.

Computers, in simple words, are machines that perform a set of functions according to their users’
directions. Going by this definition, several electronic devices, from laptops to calculators, are computers.

A computer comprises of some basic elements. These include hardware, software, programmes, data
and connectivity. No computer can function in the absence of these elements. Apart from these elements, a
computer system comprises of three basic components. These components are responsible for making
computers actually function. Let’s take a look at them in detail.

Components of a Computer System

Every computer system has the following three basic components:

 Input unit
 Central processing unit
 Output unit

Input unit
These components help users enter data and commands into a computer system. Data canbe in the
form of numbers, words, actions, commands, etc. The main function of input devices is to direct commands
and data into computers. Computers then use their CPU to process this data and produce output.

Example: a laptop’s keyboard or keyboard - is an input unit that enters numbers and characters.
Mouse - can be an input unit for entering directions and commands.

It includes: barcode readers, Magnetic Ink Character Readers (MICR), Optical Character Readers
(OCR), microphone, etc.

Have you used a computer system with installed Windows 2007? Did you also operate a computer with
installed Windows 10 operating system? Can you now distinguish the inputted data into Windows 10
programs and its office applications?

What is It
Have you tried using the computer to accomplish the required activities in the Teacher-Made Learner's
Home Task Template or individualized module? Or have you tried to encode the document using the
computer? This particular topic: “Entered data are processed using appropriate software commands”: guides
you to use the system unit to processed data with the following software commands, like the desktop
Personal Computer or laptop. But since, we are in the period of CoVid Pandemic, you shall have to learn
these things at home.

A computer is an information processing machine. Computers process data to produce information.

The sets of instructions that humans give computers are called programs or software.
Software that carries out a particular type of task for a user is often called applications software.

There are many reasons for using computers:


 Computers can work much faster than humans;
 Computers never get tired or need a rest;
 Computers can do jobs that it would be dangerous for a human to do;
 Computers can store large amounts of information in a very small space;
 Computers can find information very quickly;
 Computers never lose or misplace information.

The three stages of computing are input, processing, and output.

A computer works through these stages by ‘running’ a program. A program is a set of


step-by-step instructions which tells the computer exactly what to do with input in order to
produce the required output.

Input
This stage of computing is concerned with getting the data needed by the program into
the computer.
Input devices are used to do this. The most commonly used input devices are the mouse
and the keyboard.

Processing
The instructions about what to do with the input are contained in a program. During the processing stage the
computer follows these instructions using the data which has just been input. What the computer produces at the end of
this stage is called output.

Output
This stage of computing is concerned with producing the processed data as information in a form that is useful to the
user.

Output devices are used to do this.

The most commonly used output devices are the screen, which is also called a monitor or visual display unit (VDU) and
the printer.

Data & Information


Data is any collection of numbers, characters or other symbols that has been coded into a format that can be input
into a computer and processed. Data on its own has no meaning, or context.

It is only after processing by a computer that data takes on a context and becomes information.
There are many types of data
All data ends up being stored as a series of numbers inside the computer.

Data can be input to the computer by the user in many different ways. The main types of data that can be input
into a computer and processed are numeric, text, dates, graphics and sound.

In the past, when people thought about computers, they thought about machines. The tapping on the
keyboard, the clacking of the printers, the rumble of whirling disk drives, the changing flashes of color on a
computer screen-these are the attention-getters. However, it is really the software - the planned, step-by-step
instructions required to turn data into information that makes a computer useful.

A subset of system software is an operating system, the underlying software found on all computers.
Applications software, software that is applied, can be used to solve a particular problem or to perform a
particular task. Applications software may be either custom or packaged.

Many large organizations pay programmers to write custom software, software that is specifically
tailored to their needs. We will use several forms of system software (e.g. Windows 2000, MacOS) and
several application software programs (e.g. Word, Excel, PowerPoint) in this course.

Most users, whether at home or in business, are drawn to task-oriented software, sometimes called
productivity software, that can make their work faster and their lives easier. The collective set of business
tasks is limited, and the number of general paths towards performing these tasks is limited, too. Thus, the
tasks and the software solutions fall, for the most part, into just a few categories, which can be found in most
business environments.

Word Processing/Desktop Publishing

The most widely used personal computer software is word processing software. This
software lets you create, edit, format, store, and print text and graphics in one document.
In this definition it is the three words in the middle-edit, format, and store-that reveal the
difference between word processing and plain typing. Since you can store the memo or
document you type on disk, you can retrieve it another time, change it, reprint it, or do
whatever you like with it. You can see what a great timesaver word processing can be:
unchanged parts of the stored document do not need to be retyped; the whole revised
document can he reprinted as if new.

Electronic Spreadsheets

Spreadsheets, made up of columns and rows, have been used as business tools for
centuries A manual spreadsheet can be tedious to prepare and, when there are changes, a
considerable amount of calculation may need to be redone. An electronic spreadsheet is
still a spreadsheet, but the computer does the work. Spreadsheet software automatically
recalculates the results when a number is changed.

Database Management

Software used for database management-the management of a


collection of interrelated facts-handles data in several ways. The software can
store data, update it, manipulate it, report it in a variety of views, and print it
in as many forms. By the time the data is in the reporting stage-given to a
user in a useful form-it has become information. A concert promoter, for
example, can store and change data about upcoming concert dates, seating,
ticket prices, and sales. After this is done, the promoter can use the software
to retrieve information, such as the number of tickets sold in each price range
or the percentage of tickets sold the day before the concert. Database software
can be useful for anyone who must keep track of a large number of facts.

Graphics
It might seem wasteful to show graphics to business people when standard computer printouts are readily
available. However, graphics, maps, and charts can help people compare data and spot trends more easily,
and make decisions more quickly. In addition, visual information is usually more compelling than a page of
numbers. We use Microsoft's PowerPoint and Adobe's Photoshop application software for graphics. We use it
in
two ways: for doing original drawings, and for creating visual aids to project as a support to an oral
presentation.

Communications
We have already described communications in a general way. From the viewpoint of a worker with a
personal computer at home, communications means-in simple terms-that he or she can hook a phone up to
the computer and communicate with the computer at the office, or get at data stored in someone else's
computer in another location. We use Microsoft's Internet Explorer application software for doing email,
World Wide Web browsing, and participating in Internet discussion groups.
