Target

Implementing procedures in basic file maintenance requires knowledge and skills in


performing computer operations. This lesson provides you the fundamentals in Maintaining
Computer Equipment and Systems, Computer Hardware and Software.

This learning material will provide you information and activities that will help you

ACTIVITY 1 - LET’S ARRANGE IT!


Direction: Rearrange the following file maintenance procedures in their proper order.
Use numbers to indicate their order of precedence. Write your answers on a separate
sheet of paper.

A. Back up Selected files


____ On the Home page, click PC backup.
____ On the PC Backup page, click New Backup Plan.
____ Select a frequency, and then click Start backup.
____ Select specific folders and files from the Specific folder tab, and then click Continue.
____ Select a storage drive, and then click Continue.

B. Deleting Unwanted Files


____ Select Disk Cleanup. This can be found in the Disk Properties Menu.
____ There may be system files that you want to delete but they do not appear in the Disk
Cleanup Menu. To access them, go to Cleanup System Files at the bottom of the
Disk Cleanup window.
____ Open My Computer. Right-click on the drive that you want to clean and select
Properties at the bottom of the menu.
____ Go to More Options. Once the More Options Tab appears, look under the section
entitled System Restore and Shadow Copies and select Clean Up. This may take
a few minutes to complete.
____ Delete unnecessary files. Once you have selected the files you wish to delete, select
Ok. Click Yes

Computer Maintenance

Maintenance of computers is the continuous and systematic inspection of the


computer. Cleaning and replacement of damaged components and systems allows the
computer to use longer. The learner should be familiar in applying procedures in computer
and file maintenance in line with the standards operating procedures.

Computer Maintenance
To keep your computer running smoothly, it's important to keep the files and folders
organized. Unorganized directories are making it harder to find the files you need. In
addition, Unwanted files will gradually fill up your hard drive, making it slower and harder
to use your computer. Here are some things you can do to delete unwanted files and
improve the performance of your computer:

? Delete Files
If you have any unwanted files, you can delete them manually. To do this, simply
drag them into the Recycle Bin, and then empty the Recycle Bin.

? Disk Defragmenter
Windows includes a Disk Defragmenter program in the Control Panel. It scans the
files on your hard drive and then rearranges them so that it can read them faster. If your
computer is running slowly, running Disk Defragmenter can help to speed it up.

? Disk Cleanup
Windows also includes a Disk Cleanup program in the Control Panel. It scans your
computer for temporary files and other files that can be deleted. You can then delete the
files to free up space on your hard drive.

File Maintenance
The routine changes, upgrades, copies, transfers or deletes files on a computer.
Maintenance of files is normally done on computers or servers that contain many files.

1. On the Home page, click PC backup.
2. On the PC Backup page, click New Backup Plan.
3. Select personal folders to copy from the Personal folders tab or select specific
folders and files from the Specific folder tab, and then click Continue.
4. Select a storage drive, and then click Continue.
5. Select a frequency, and then click Start backup.
? Deleting Unwanted Files
1. Open My Computer. Right-click on the drive that you want to clean and select
Properties at the bottom of the menu.
2. Select Disk Cleanup. This can be found in the Disk Properties Menu. Disk Cleanup
is a built-in feature of Windows that allows you to delete unnecessary files from your
PC.
3. Delete unnecessary files. Once you have selected the files you wish to delete, select
Ok. This may prompt a window to appear that will confirm your actions. Click Yes.
4. There may be system files that you want to delete but they do not appear in the Disk
Cleanup Menu. To access them, go to Cleanup System Files at the bottom of the
Disk Cleanup window.
5. Go to More Options. Once the More Options Tab appears, look under the section
entitled System Restore and Shadow Copies and select Clean Up. This may take
a few minutes to complete.

? Updating Antivirus Database

Antivirus – is a software designed to detect and destroy computer viruses.

Manually update the application


1. Right-click the antivirus icon in your system tray and select Update select Program.
2. If your antivirus doesn't begin checking for updates automatically, click Check For
Updates.
3. Wait while your antivirus checks for application updates.
4. When the update is complete, you will see that Your application is up to date.
5. You may need to restart your PC to complete the update. If prompted, click Restart
Now to immediately reboot.

Manage Automatic Application Update


1. Open your antivirus application and go to Menu select Settings.
2. Ensure General is selected in the left panel, then click Update.
3. In the application section, click More options.
4. Select your preferred option:
a. Automatic update (enabled by default) updates are regularly downloaded and
installed. You may need to restart your PC to complete an update. If prompted,
click Restart Now to immediately reboot.
b. Ask when update is downloaded notifies you when updates are downloaded.
Your confirmation is required to complete the update.
c. Ask when an update is available notifies you when updates are available
(before downloading). To receive the update, you need to start the download and
installation process manually.
d. Manual update (not recommended) updates are not automatically installed,
and you are not notified when a new update is available.
